Ordering a transcript of your academic record at Belhaven University, formerly Belhaven College, is easy when you follow these guidelines:
You may fill out the transcript request form from the Clearinghouse website over the secure server and make a credit card payment online. The cost of transcripts is $10 per copy for the first 2 copies, additional copies ordered on the same day are $2.00 per copy after the first two copies. If you are currently enrolled you may fill in the appropriate box to tell us if we should send your transcript now or after this term’s grades or after the degree is posted.
By requesting a transcript through the Clearinghouse website, you will receive confirmation emails when the transcript is being processed and when the transcript has been sent. You will be asked to mail or fax a consent form for your transcript to be released in accordance with the Family Education Rights and Privacy Act.
- To order an official transcript(s), login to the Clearinghouse secure website.
- The site will walk you through placing your order, including delivery options and fees. You can order as many transcripts as you like in a single session. A processing fee will be charged per recipient. You can order transcripts using any major credit card. Your card will only be charged after your order has been completed.
- Order updates will be emailed to you. You can also track your order online.
If you do not request your transcript through the Student Loan Clearinghouse, you may fill out the transcript request form over our secure server. The cost of transcripts is $10 per copy for the first 2 copies, additional copies ordered on the same day are $2.00 per copy after the first two copies. You may pay by credit card (online over secure server), cash (do not send cash in the mail), or check (minimum two week waiting period before transcript will be released when paying by check). You will not receive confirmation emails when the transcript is being processed and when the transcript has been sent.
All fees must be paid in advance, must accompany the request and are non-refundable.
Fill form out completely to expedite your request. If you are an Adult Aspire student you MUST check the box indicating this. If you are currently enrolled you MUST check the appropriate box to tell us if we should send your transcript NOW or AFTER THIS TERM'S GRADES or AFTER DEGREE IS POSTED.
Transcript requests must be received by the Business Office at Belhaven University at least two weeks before he/she needs to have the transcript sent.
The Registrar is not permitted to send a transcript of an academic record if the student is in debt to the college. There is a minimum 48 hour waiting period before a transcript can be released.
Students are required to show photo identification if picking up their transcript. The student’s signature is required before transcripts can be processed, and transcripts may be released to a student’s designee only with a signed statement of release from the student. Transcripts which are to be picked up will only be kept four weeks from the date of the request.
Belhaven University wishes to inform students of the Family Education Rights and Privacy Act of 1974, as amended. The act, with which the institution intends to comply fully, was designated to protect the privacy of educational records, and to provide guidelines for the correction of inaccurate or misleading data through informal and formal hearings. Students also have the right to file complaints with Family Education Rights and Privacy Act Office (FERPA) concerning alleged failures by the institution to comply with the act.
Belhaven University accords all the rights under law to students who are declared independent. No one outside the institution shall have access to nor will the institution disclose any information from students' education records without the written consent of students except to personnel within the institution, to accrediting agencies carrying out their accreditation function, to persons in compliance with a judicial order, and to persons in an emergency in order to protect the health or safety of students or other persons. All these exceptions are permitted under the act.
Within the Belhaven community only those members individually or collectively acting in the student's educational interest are allowed access to student education records. These members include personnel in the Office of the Registrar, Provost Office, Admission Office, Student Development Office, Financial Aid Office, and Business Office.
Students may not inspect and review the following as outlined by the act: financial information submitted by their parents, confidential letters and recommendations associated with admission, employment or job placement, or honors to which they have waived their rights of inspection and review, or education records containing information about more than one student, in which case the institution will permit access only to that part of the record which pertains to the inquiring student.
